30 hours back for patient care: Voice AI agents for 24/7 medical practice availability

A healthcare provider working with medical practices across Germany had a vision: make every medical practice, whether a small rural family practice or a large urban medical care center (MVZ), reachable for patients at any time of day, without straining the human team.

Challenge

At most medical practices, the phone rings all day, even more so during cold and flu season. The same staff who answer calls about booking appointments, prescription fills, and bill payments are also the ones who provide onsite care, causing long hold times, missed calls, and burnt out teams. These stressors, combined with a worsening shortage of skilled workers, pressure staff members to do even more with less.

Solution

The healthcare provider looked to intelligent voice AI agents to extend the practice’s team by answering routine calls reliably and quickly, thereby freeing medical staff to focus on on-site patient care.

“We want every medical practice in Germany to be able to give patients a reliable, friendly point of contact, around the clock, without adding to their teams' workload. That's exactly what our voice AI agents make possible.”

Denis Boos, Enterprise Engagement Manager, Parloa

Voice AI agents at work

The voice AI agents automatically answer every phone call around the clock. They communicate in natural, friendly, and empathetic language and capture requests without ever putting a patient on hold.

Appointment, prescription, and referral management

The voice AI agents take requests to book, reschedule, or cancel appointments, capturing every relevant detail in a structured format. The human practice team then reviews each request and responds, and patients receive an automatic confirmation via text message.

Prescription requests work similarly: The AI agent records which medications a patient requests, asks for the relevant details, and hands it to the practice team in a structured format for the next work day. The team then reviews and releases the e-prescription as is appropriate.

Billing and general inquiries

The AI agents independently answer questions about invoices, services, and general practice information such as opening hours. For more sensitive inquiries that require a human response, the agents capture the relevant details and present them clearly to medical staff.

AI agent boundaries

As trust is the top priority in healthcare, the line between what the AI agents can and cannot do is clearly defined. AI agents assist the practice team with routine matters, but they don't make diagnoses or provide medical advice. The AI agents are able to recognize emergencies reliably and escalate them immediately to staff on site.

Why Parloa?

Many medical practices run on older phone and IT systems with limited time, resources, and budget for new technology projects. The healthcare provider selected Parloa’s agent management platform (AMP) for its ability to make modern voice AI accessible to every practice, regardless of size, specialty, or technical infrastructure. The AI agents work on a plug-and-play basis and integrate with existing telephony systems.

First, the voice AI agents were tailored to each healthcare practice's workflows. The providers determined which matters AI agents should handle, when the agents should transfer a call, and how they should communicate. The medical practice then received a dedicated phone number for the agents and began forwarding calls to it.

Beyond integrations, scalability, and the natural-feeling conversations that the AI agents provide, the healthcare provider turned to Parloa for its high security and compliance.

Parloa's platform meets regulatory requirements across healthcare and ensures sensitive patient data is handled responsibly:

  • GDPR-compliant processing of personal data

  • Digital sovereignty through hosting and data processing in Germany

  • Clear roles and access rights, so only authorized people can access relevant information

  • Logging and traceability across all activities and changes

  • Data deletion protocols aligned to defined retention and deletion periods

  • Order processing agreements governed by clear contractual terms

  • Voice data protection through secure processing

Results

Per general practice, over 1,800 minutes of phone time have been saved on average, allowing for 30 more hours of direct patient care. Routine calls get handled reliably, and the people trained to care for patients get time back to do so.

What's next

What's live in a handful of practices today will soon become the standard for patient communication. AI agents will handle routine work for practices across the country all experiencing the same call volume and staffing shortage challenge.

Throughout the evolution, the AI to human balance will be what maintains patient trust.

AI agents will handle the routine work, and practice teams will remain in charge of every clinical decision and sensitive case. In the end, more practices will deepen their relationship with the patients they serve; and employees’ workloads will be better managed.

“With voice AI, we take the routine work off practice teams' hands and lay the groundwork for healthcare that's always reachable, efficient, and centered on the patient.”
